WELCOME TO LONDON TECH WEEK 2024

We are delighted to welcome you onboard as a speaker for London Tech Week 2024. 

This pack includes all the information you need to prepare for the event. Please ensure you read each section carefully and meet the required deadlines. We look forward to working with you in making this a successful event!

REQUIRED INFORMATION

Please send below information to us as soon as possible:

  • Short biography: (around 100-words and not a CV) - for inclusion on the website and so that the Chair can introduce you correctly 
  • Headshot colour photo: digital format saved as a JPEG, PNG or GIF file 
  • Please check that your biography and photo are uploaded correctly on the speaker listing, if not please contact your Speaker Manager
  • Mobile Number: (so I can reach you on site in case of an emergency. Numbers will not be shared or stored after the event)
  • Dietary Requirements (please specify)
  • Special Assistance: Please inform me if you require any specific assistance at the venue
  • Postal Address / Speaker Email address: Required to complete your registration

YOUR ROLE

Solo Speaker / Presenter

We require your PowerPoint file in advance. Presentation files are due on or before Monday 20th May and must be uploaded to our Dropbox.  

  • Files should be 16:9 aspect ratio  
  • PPT files (not PDF) 
  • Rename your file by using the speaker name_organisation e.g.   John_Frank_InformaTech 
  • Upload your presentation to the dropbox here
  • Once uploaded, please email aimee.wilson@informa.com  or althea.c.haler@informa.com to confirm that you have shared it. 

 

As a Speaker, please arrive at least one hour in advance of your session and adhere to the guidelines below.

  • Ensure you check in at Speaker Registration in the main registration area.
  • Please check your session(s) on the latest agenda here. If you have any queries regarding the agenda please contact your Content Lead.
  • The room will be equipped with a laptop, data projector, screen and microphone. Please let me know if you require any other equipment.
  • If you wish to present from your personal Mac computer, you will need to bring your own adapter to connect to the system.

As a Panellist

  • Before the event, the producer will connect you to the moderator and other panellists and make introductions.
  • Discuss with the moderator and other panellist’s questions to be discussed during the panel or themes you do not wish to cover.
  • Panellists are NOT required to submit presentation slides.

Chair and Moderator

As a Chair or Moderator

  • Chairpersons will be sent a pack via email before the event.  A copy of this will be given to you in your session room onsite by the Informa Staff.
  • Moderators should welcome and introduce their panellists. Moderators should give an introduction to the subject and moderate the discussion in the panel.
  • When introducing speakers, please pick highlights from biographies and do not read them verbatim.
  • Before the event, the producer will connect moderators with the panellists to make introductions.
  • At the end of the session, wrap up with some closing remarks.
  • Moderators and Chairpersons are NOT required to use slides. Should you wish to use slides, please inform your speaker ops manager.

ACCOMODATION, VISA & REGISTRATION

Visa & Reg

Accommodation

It is the responsibility of the speaker to book and pay for their travel and accommodation. If you would like to book accommodation with our preferred supplier Hotelmap, locally to the conference venue at a reduced room rate, please click HERE for options and booking information. Please book as soon as possible to avoid disappointment.  

 

Visa

It is your responsibility to check visa requirements to enter the United Kingdom and complete applications in advance of the event. A visa support letter to illustrate the purpose of your travel can be requested from you speaker ops manager. Please be aware some visa applications can take some time to process so early applications are strongly recommended to prevent any problems in terms of attending the event. Please also note that Informa Tech do not take responsibility for the issuance of visas. We are unable to assist with visa applications beyond the issuance of the visa invitation letter.

 

Registrations

Your speaker ops manager will take care of your registration once you have sent the relevant information. Your badge will give you access to all sessions (except Global Leaders Summit and the Climate Tech Summit which are invite only events), the exhibition floor and complimentary refreshments including lunch (served in the VIP Gallery). You will also have access to the Speaker lounge on the Gallery where presentation testing will take place. Further details will be sent in the final speaker information email sent 1 week before the event. Please ensure that you have ID to collect your badge. 

FILMING

The Main Stage, Founders Stage and Corporate Innovation Stage at London Tech Week will be filmed and streamed into the VIP / Speaker lounge and certain sessions may be uploaded onto the App on demand after the event. If you are a speaker on these stages, you agree to be filmed. Some additional sessions may be filmed. If you do not wish to be filmed, please let your speaker ops manager know by Monday 20th May.

As a speaker, we want you to have the best experience at our event. If you would like to announce via your social media platform that you will be speaking at the festival, you can do so using a speaker card  we have created for you and / or using the below link which will auto generate your profile onto some event graphics along with all the text necessary - all you have to do is log into LinkedIn and click “post”. The personal details on the post will align with the ones used for the account.

LTW is working with LinkedIn for 2024! LinkedIn News will be on the lookout for LinkedIn posts to amplify from the personal profiles of CEOs/execs/senior leaders. They’re specifically looking for posts containing exciting news announcements made at London Tech Week. To help the LinkedIn News team find these posts, please use the #LondonTechWeek hashtag.

London Tech Week 2024 is powered by Swapcard. The platform will be launched and available to all on 15th May 2024 to ensure you have enough time to familiarise yourself. Our team will be on hand throughout the whole process to ensure you have the best experience possible!
 

Speaker Profiles

We have loaded your details, along with your photo and biography, into the platform. If you have not yet sent these through, please send them through by return. Alternatively, you can log in on the platform and manually add your photo and bio.

 

Networking and Meetings

In order to make the most out of the event, we hope you will utilise the networking tools before and after your session.

CODE OF CONDUCT

Code of Conduct

Please be considerate and careful with your words and actions. Exhibitors in the expo hall, evening party hosts and organizers of concurrent activities should be aware they are subject to the code of conduct. Exhibitors and party hosts may not promote sexualized or offensive imagery or activities. Exhibition and party staff should not use sexualized clothing/uniforms/costumes, or otherwise create a sexualized environment. Participants asked to stop any behavior are expected to comply immediately. If a participant or sponsor engages in behavior that violates this code of conduct, Informa Tech staff may take action they deem appropriate, including warning the offender or expulsion from the event with no refund.

By you entering this virtual event, you give unqualified consent to Informa Tech, its agents, licenses to record, use and publicise your voice, actions, likeness, and appearance, in any manner and media, worldwide in perpetuity. If you wish to avoid being recorded, please do not enter this event.
