We are delighted to welcome you onboard as a speaker at London Tech Week 2026. 

This pack includes all the information you need to prepare for the event. Please ensure you read each section carefully and meet the required deadlines. We look forward to working with you in making this a successful event!

REQUIRED INFORMATION

Please send the details below as soon as possible:

  • Short biography: (around 100-words and not a CV) - for inclusion on the website and so that the Chair can introduce you correctly 
  • Headshot colour photo: Adequate resolution, digital format saved as a JPEG, PNG or GIF file. This photo will also be used on your intro slide at the event
  • Speaker listing: Please check that your biography and photo are uploaded correctly on the speaker listing, if not please contact your Speaker Manager
  • Speaker mobile number: In order for us to reach you on-site in case of an emergency. Numbers will not be shared or stored after the event
  • Dietary requirements: Please specify
  • Audio visual requirements: Please confirm any bespoke AV requirements you have for your session where appropriate
  • Special assistance: Please inform me if you require any specific assistance at the venue or have accessibility requirements

YOUR ROLE

STAND ALONE SPEAKER / PRESENTER

We require your PowerPoint file in advance. Presentation files are due on or before Friday 22th May and must be uploaded to our Dropbox.  

  • Files should be 16:9 aspect ratio  
  • PPTX files (not PDF) 
  • Rename your file by using the speaker name_organisation e.g.   John_Frank_Informa 
  • Upload any bespoke fonts or videos that have been embedded
  • All videos should be provided in .h264 format in highest res possible .mov
  • Once uploaded, please email aimee.wilson@informa.com or janelle.wilger@informa.com to confirm that you have shared it

As a Speaker, please arrive at least one hour in advance of your session and adhere to the guidelines below.

  • Ensure you check in at Speaker Registration, ICC (International Convention Centre).
  • Check your session(s) on the latest agenda here.
  • The room will be equipped with a laptop, data projector, screen, comfort monitor and headset microphone. Please let me know if you require any other equipment.
  • If you wish to present from your personal Mac computer, you will need to bring your own adapter to connect to the system.
  • Note the venue WiFi will not support internet access on stage.
  • To avoid technical problems on the day, advise your speaker ops manager immediately with details of any particular technical requirements such as internet access on stage, demos, non-standard software / bespoke fonts, running of movies/audio, or mobility requirements.
  • We advise all speakers to bring a copy of their presentation with them on a USB.

Panellists

PANELLIST

As a Panellist

  • 5 weeks before the event, the event producer will arrange a prep call between all panellists and the moderator.
  • As part of this prep call, talking points that each speaker wish to cover on the day will be discussed.
  • The moderator and event producer will use this part of the discussion to draft the questions for the session that will be shared no later than 10 days before the event so speakers have plenty of time to prepare answers.
  • Panellists are NOT required to submit presentation slides. 

CHAIR & MODERATORS

As a Chair or Moderator

  • Chairpersons will be sent a pack via email before the event.  A copy of this will be given to you in your session room onsite by the Informa Staff.
  • Moderators should welcome and introduce their panellists. Moderators should give an introduction to the subject and moderate the discussion in the panel.
  • When introducing speakers, please pick highlights from biographies and do not read them verbatim.
  • Before the event, the producer will connect moderators with the panellists to make introductions.
  • At the end of the session, wrap up with some closing remarks.
  • Moderators and Chairpersons are NOT required to use slides. Should you wish to use slides, please inform your speaker ops manager. 
  • Should you wish to organise an in-person meet with your panellists before your session, please use the speaker lounge.

REGISTRATION, ACCOMODATION & VISAS

REGISTRATION

To access the event, you will need complete an online registration for your Speaker Pass. You will receive an invitation email from our registration platform to register yourself for the event from registration@londontechweek.com. 

Speaker badge collection is from the ICC (International Convention Centre), Hammersmith Road, London W14 8UX. See timings in the first section.

Your badge will give you access to all sessions (except AI Strategy Forum, Innovation Arc Day, Hackathons and InspiringFifty which are invite only events), the exhibition floor and complimentary refreshments including lunch (served in the speaker lounge). Further details will be sent in the final speaker information email sent 1 week before the event. Please ensure that you have ID to collect your badge.

ACCOMODATION

It is the responsibility of the speaker to book and pay for their travel and accommodation. If you would like to book accommodation with our preferred supplier Hotelmap, locally to the conference venue at a reduced room rate, please click HERE for options and booking information. Please book as soon as possible to avoid disappointment.  

VISAS

It is your responsibility to check visa requirements to enter the United Kingdom and complete applications in advance of the event. A visa support letter to illustrate the purpose of your travel can be requested at the time of registration. Please be aware some visa applications can take some time to process so early applications are strongly recommended to prevent any problems attending the event. Please also note that Informa Telecoms and Media do not take responsibility for the issuance of visas. We are unable to assist with visa applications beyond the issuance of the visa invitation letter.

 

SPEAKER FACILITIES

There are 2 dedicated spaces for speakers:

- The Business Lounge: a space for networking with other speakers and VIPs whilst enjoying refreshments

- The Speaker Preparation Room: a dedicated quiet space to prep for sessions

Please note that these spaces are for Speakers and VIPS. If you have meetings with other attendees, you can have these at the Meeting Gallery in the Grand Gallery, this space is first-come-first served.

FILMING & SOCIAL EVENTS

FILMING

We will be recording the following stages in audio and/or video format: AI Arena, Transformation Stage, Core Stage and Founders Stage. 

By agreeing to speak at our conference, you confirm that the content of your session is your own and has not been copied. You give us permission to record your session, create excerpts of that recording, use those excerpts either alone or with other content, and use your name, likeness, voice, biographic information with the recording and/or excerpts, all of which may be made accessible after the conference as described above.

SOCIAL EVENTS

As a speaker, you are invited to the London Tech Week Party. Further details to come!

AGE REQUIREMENTS

For anyone who wishes to attend London Tech Week with children, our approach by age group and details of the on-site complimentary childcare services are below. We want everyone to have an engaging, enjoyable and valuable experience at London Tech Week. Our team is happy to answer questions from parents and guardians about bringing children to the event or booking into the on-site facilities.

Ages 16–17

Young people aged 16 and 17 are welcome to take part in London Tech Week when accompanied by a parent or legal guardian throughout their time at the event. A Child Attendance Waiver form will need to be completed.

Ages 15 and under

We’re partnering with Nipperbout to offer complimentary on-site childcare during London Tech Week. Children 15 and under are welcome at these dedicated childcare services provided on-site.

Ages two and under

Parents and guardians are welcome to bring children aged two and under into London Tech Week. To ensure the best experience for everyone, we ask that parents are mindful of any disruption if their children become unsettled during sessions. Parents and guardians are invited to take advantage of our Nursing and Infant Care Room, and on-site childcare services as needed.

How to book

To bring a child to London Tech Week, contact the Registration Team. From there we will be in touch to guide you through the process of completing our Child Attendance Waiver, and booking in your childcare provision. 
 
We understand that childcare plans can change. For last minute arrangements at London Tech Week, our team will do our best to facilitate children that haven’t been booked in advance. The Child Attendance Waiver will need to be completed upon arrival, and onsite facilities will be subject to availability.

We really do appreciate you sharing your involvement as a speaker at London Tech Week to your network. The button below will autogenerate a LinkedIn post for you. If you would prefer a graphic file to be shared with you, please contact Pooja.Badwal@informa.com . All you have to do is log into LinkedIn and click “post”. The personal details on your LinkedIn post will align to the details used for the LinkedIn account. .

SPEAKER GUESTS

As a speaker, you can bring 3 colleagues with you to the event free of charge. Whether it's a colleague in comms for on the day support or a tech team member that would benefit from the content, they can all claim their passes in the same way:

1) Once you have entered your personal information, you will be prompted to select a pass - make sure you select the 'General Full Access'. Ignore the fact that there is a fee attached to this!

2) When you get to the 'Review' section enter the promo code SPEAKERGUEST26 to get the pass for free (you will see the full fee waived once you have entered the code correctly)

London Tech Week 2026 is powered by Swapcard. The platform will be launched and available to premium badge types, including speakers on 8th May 2026 to ensure you have enough time to familiarise yourself. Our team will be on hand throughout the whole process to ensure you have the best experience possible!

Speaker Profiles

We have loaded your details, along with your photo and biography, into the platform. If you have not yet sent these through, please send them through by return. Alternatively, you can log in on the platform and manually add your photo and bio.

Participants asked to stop any behavior are expected to comply immediately. If a participant or sponsor engages in behavior that violates this code of conduct, Informa Festivals staff may take action they deem appropriate, including warning the offender or expulsion from the event with no refund.
